A Cleaner Commissioning Records Workflow

Good records answer different questions. A commissioning certificate records responsibility and findings at a defined point. A system log follows events over time. A service register helps organise future visits. A CPD record belongs to the professional rather than to one alarm system.

Fire Regs Pro keeps those purposes in separate field-tool areas. That separation reduces the temptation to overload a single PDF with information that belongs elsewhere.

1. Complete the right certificate

Start with the process you are actually responsible for. Design, installation, commissioning, acceptance and later modifications are distinct activities. The organisation or competent person responsible for a process should complete the corresponding evidence and state variations or limitations clearly.

The app’s Certificates area is designed to hold client and premises details, system information, zones, test results, variations, defects, a declaration and a captured signature before PDF export.

2. Hand over a usable system log

The log should remain with the system and continue after handover. Weekly tests, alarms, faults, false alarms, maintenance and modifications need a chronological home that the next responsible person can understand.

Fire Regs Pro’s Service & Test Log is separate from the certificate history. It can also schedule an optional weekly reminder, but a notification does not replace the premises’ own management arrangements.

3. Track future service obligations by site

A contractor maintaining several premises needs a portfolio view. The Service Register stores each maintained system and its next due date, with reminders before the date and a shareable PDF overview.

This is organisational support. The interval and scope still come from the applicable standard, risk, system condition and contractual requirements.

4. Keep personal learning evidence separate

CPD belongs to the engineer. Record courses, technical briefings, supervised work and other relevant learning with dates, hours and notes. The CPD Logger compares recorded hours with an annual goal and can export a report.

Build a simple close-out habit

At the end of a visit, ask:

  • Which process did I perform, and is its certificate complete?
  • What event or work belongs in the system log?
  • Has the next service date been updated?
  • Did today include learning worth adding to CPD?
  • Have the client and responsible person received the right documents?
